Administrative & Reprographic Services Coordinator
Position Filled November 13, 2009 This is a one-year position with the possibility of extension.Working closely with Rare Books & Manuscripts Library (RBML) and the Schoenberg Center for Electronic Text and Image (SCETI) curatorial staff, the Administrative & Reprographic Services Coordinator processes reprographic requests for high-resolution digital scans, both those which originate with outside patrons and those which originate from Library staff for internal projects.
The list of duties includes:
- Handle rare and fragile materials and evaluate the bibliographic requirements of varied scanning projects.
- Retrieve materials from the collections requested by patrons and show them to RBML curatorial staff for approval.
- Enter metadata into SCETI's administration system.
- Working with the SCETI Director and Scanning Supervisor, monitor and prioritize SCETI job queue and manage work flow.
- Perform quality control of scanned items to ensure accuracy.
- After jobs have been completed, ensure timely delivery of media, via mail or email. This includes producing patron invoices and tracking invoices using RBML billing software.
- Communicate directly with patrons, in person or via phone or email, concerning specifications for scanning, turnaround times, billing procedures, and bibliographic questions. The Coordinator works closely with the RBML Public Services Specialist to ensure efficient processing of jobs.
- Coordinate with Library staff to ensure timely completion of internally-requested work. This includes scanning for long-term grant-funded projects and short-term requests: for example, scanning for publications and for exhibitions.
- Process requests from Interlibrary Loan which require digital scanning, including communicating directly with Interlibrary Loan staff of other institutions.
- Assist the Public Services Specialist in processing and submitting the monthly payments for patron reprographic orders.
- Help maintain an inventory of scanned materials held on Library servers, including both those managed by SCETI and those managed by RBML.
- Communicate with SCETI or ITADD staff concerning systems and server problems and management.
Qualifications:
A High School Diploma is required and 1 year to 2 years of experience or an equivalent combination of education and experience. Bachelor's Degree strongly preferred. Background in and experience with rare books and manuscripts highly desirable. Familiarity with MS Access or other relational databases desirable. Good organization skills, close attention to detail, excellent verbal, written and interpersonal communication stills, strong time management skills, and the ability to multitask is essential.
