How to Book WIC Classrooms
Eligibility
WIC Classrooms are available for use by Penn students, faculty, and staff. Booking is subject to availability, and rooms can be reserved for academic purposes, study sessions, or workshops.
Room Usage Rules
No food or drinks are allowed in the Collaborative Classroom and Goldstein Classroom.
The room has a maximum capacity limit that must be adhered to.
To help us improve our community, please remember the following before leaving the room:
- Power down the projection system using the touchscreen panel.
- Turn off all the lights.
- Please ensure you take all your belongings with you before leaving the room.
- Erase the whiteboards and arrange the chairs and desks to their original order.
If you encounter any issues during your class, please report them to libhelpdesk@pobox.upenn.edu, including as much detail as possible.
Booking Process
Note: Same-day classroom reservations are not accepted. If you require an exception or need assistance with room reservations, please contact wic1@pobox.upenn.edu.
- Reservations can be made online through the Penn Libraries room reservation system.
- Select your desired room: Choose the specific room you want to book (e.g., Class of 1968 Seminar Room, Collaborative Classroom, or Goldstein Electronic Classroom).
- Check availability: Look at the calendar and check the availability to send requests in advance to secure the desired time slot.
- Be sure to use your Penn email address to reserve a room. Otherwise, your application may not be approved. If you are a Penn alum or a guest speaker seeking an exception, email wic1@pobox.upenn.edu.
- Bookings are confirmed via email. Please review your booking details and confirm your reservation.
Technology Usage
If you need assistance with technology, check the “User Guide for Instructors” available on each WIC classroom’s site page. You can also book a tour of the room’s facilities and technical requirements by emailing us at wic1@pobox.upenn.edu. If you have any questions or concerns about the room, don’t hesitate to contact us.

Booking Process
Note: To book the Collaborative Classroom for a full term, you must submit a SAIL Classroom request form. Learn more about SAIL classrooms.
- Although we try to accommodate as many semester-long classes using special collections as we can, classrooms are not always available for every request. We typically process semester-long bookings on a first-come, first-served basis. If a potential time conflict arises, our team will send an email to notify you and assist in adjusting the time slots or selecting a different classroom.
- Check availability: Before making a semester-long booking, check the Van Pelt-Dietrich Library Center calendar to ensure that the library is open.
- Fill out the reservation form: To be considered for the fall semester, complete the WIC Classroom Recurring Booking Form before April 15.
- Use your Penn email to reserve a room. Otherwise, your application may not be approved. If you are a Penn alum or a guest speaker seeking an exception, please email wic1@pobox.upenn.edu.
- Mandatory registration and check-in are REQUIRED for all classroom bookings. Bookings are confirmed via email. Please review your booking details and confirm your reservation.
- If you require bookings for multiple sections, please submit separate applications for each teaching section, covering the entire time range needed. (Note: For classes with multiple sections, if your chosen date is unavailable, we can help you find an alternative room option.)
- Classroom booking submissions undergo daily review, and you will receive status notifications by the following week. If you encounter any potential issues or need assistance, email wic1@pobox.upenn.edu.
